Obtaining Reproductions
Photocopying
With departmental permission, photocopies may be made of archival, manuscript, and book materials. For the protection of fragile, damaged, or restricted items, the department reserves the right to withhold permission to photocopy.
All photocopying is done by staff members of the Milne Special Collections and Archives Department. The number of photocopies allowed per person from archival or manuscript collections is limited. Smaller orders may be processed while the researcher waits.
The charge for photocopying for published materials (e.g. books, periodicals, government documents, etc.) is 25 cents per page for the first 50 pages and 45 cents per page thereafter, and for archival and manuscript materials and all 11 x 17 inch copies 40 cents per page for the first 50 pages and 60 cents per page thereafter. The charge for shipping and handling is $3.50 ($5.00 for overseas). Mail and pickup orders must be pre-paid and a Reproduction Use form (pdf format) completed. Orders held for pickup will be discarded after thirty days.
Photocopies are provided solely for private study, scholarship, or research use. In making copies available, the Milne Special Collections and Archives Department does not thereby grant permission to reproduce or quote for publication. The applicant is responsible for communicating with the owner(s) of the copyright; requests to publish quotes or sections of manuscript materials require written permission from the owners of the copyright and from the Milne Special Collections and Archives Department.
The copyright law of the United States (Title 17, U. S. Code) governs the making of photocopies or other reproductions of copyrighted material. Under certain restrictions specified in the law, libraries and archives are permitted to provide a photocopy or other reproduction. One of the these specified conditions is that the photocopy or reproduction is not to be “used for any purpose other than private study, scholarship or research.” If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of “fair use,” that user may be liable for copyright infringement. This department reserves the right to deny a copy order if, in its judgment, fulfillment of the order would involve violation of the copyright law. In general, entire works cannot be copied due to this restriction.
Many of our materials are sensitive to exposure to heat and light. In some cases the mere act of photocopying some materials increases the rate of paper’s deterioration. Patrons should only request copies of materials when absolutely necessary.
The copying and use of photographs from Special Collections and Archives is governed by a separate policy [see below].
Scanning
We use Adobe Photoshop with an Epson Perfection desk scanner to scan images at a cost of $10.00 each. A fee of $15.00 per hour or part of an hour will be charged for requests that take more than an hour to fill. We do not allow patrons to scan documents themselves.
We can send images to an e-mail account, save the image to a disk, or burn it onto a CD. If you need us to provide the disk or CD, the charge is an additional $5.00.
Faxing
The cost for faxing materials is the same as for photocopies, with an additional charge of three dollars and fifty cents ($3.50). Campus faxing is free. The Department reserves the right to limit the number of pages to be faxed. This number generally will not exceed 20 pages.
Faxed copies are for personal use only. No copy, or excerpt therefrom, may be sold, lent, copied or published without permission of the University of New Hampshire Library.
Recordings
Sound recordings are not available for listening within the department but can be dubbed onto compact disc by the staff for later pick-up. The disc must be returned.
There is no charge for labor for the first hour. A fee of $15.00 per hour or part of an hour will be charged for requests that take more than an hour to fill. A fee of $5.00 will be charged for each disc we provide.
All dubbing of materials from the sound recording collections must be in accordance with “Fair Use” provisions of U.S. copyright law. A signed Reproduction Use form [pdf] must be on file before any work is performed.
Requests for dubbing will be filled within 5 working days. Priority will be given to those requests related to classroom use and scholarly research purposes.
Photographic Prints or Slides
Applicants must complete a Request for Photographic Prints or Slides.
The duplication of photographs and slides is permitted with the understanding that such images are intended solely for use by the applicant. Copy negatives of Special Collections and Archives materials will not be made available for further use. The generation of additional copies or transfer of duplicated images to any other person or institution is permitted only with the prior written permission of the UNH Library.
The applicant must have a completed a Reproduction Use form [pdf] before any duplicated visual materials are used in a publication. This agreement does not grant permission to publish.
In providing copies of photographic prints or slides, the UNH Library claims no rights beyond ownership of the materials and assumes no responsibility of copyrights held by others.
